Extra Charges

Extra charges allow you to define additional items or services that can be billed to children, such as nappies, meals, or other consumables. You can configure names, descriptions, and set up pricing that can change over time. Charges with a negative amount can be used to apply credit to a child.

When charges are applied to a childs schedule, they can either be done as reoccurring or one off charges.

Editing or Adding an Extra Charge

When you add or edit an extra charge, you will see a form similar to the one below. This allows you to specify the details and pricing for each extra item.

Fields

  • Name: Enter a descriptive name for the extra item (e.g., “Nappies”). This will appear on invoices and reports.
  • Description: Optionally, provide more details about the item or service (e.g., “Nappies provided by the nursery”).
  • Prices: You can set one or more price entries for the extra charge. This is useful if the cost changes over time.
    • Start Date: The date from which this price is effective (dd/mm/yyyy).
    • End Date: The date until which this price is effective (dd/mm/yyyy). Leave blank if the price has no current end date.
    • Cost: The amount that will be charged to children for this item or service.

When calculating the appropriate price, if multiple prices have no end date, the one with the latest start date will be used.

To add a new price, click the Add Price button. You can remove a price entry by clicking the delete icon next to it.
