The Pigeonhole AI Assistant

The Pigeonhole AI Assistant is a powerful tool designed to help you with various tasks related to managing your nursery. It can answer questions, provide information, and even perform actions within the Pigeonhole system.

Accessing the AI Assistant

You can access the AI Assistant by clicking on the chat icon located at the bottom-right corner of your screen. This will open the chat window where you can start interacting with the assistant.

The assistant has two modes: Assistant Mode and Help Mode. You can access assistant mode in the bottom right hand of Pigeonhole, and help mode in the top menu under the help (’?’) icon..

Assistant Mode

The Assistant mode is your go-to for help with day-to-day nursery management tasks. It can help you find information, summarize data, and get advice on childcare topics.

Here are some of the things you can do with the Assistant mode:

Managing Child Data

The assistant can help you quickly find information about the children in your care.

Example Queries:

  • “Show me the attendance for John Doe for this week.”
  • “Does Jane Smith have any allergies?”
  • “List all children who are 3 years old.”
  • “Who are the emergency contacts for Sarah Brown?”

Financial Information (Coming Soon)

Get quick insights into your nursery’s finances.

Example Queries:

  • “What are the outstanding invoices for the Smith family?”
  • “Show me the total revenue for last month.”
  • “Generate a list of all payments received this week.”

Advice and Guidance

The assistant can provide information and advice on a wide range of early years topics by searching the internet for up-to-date information.

Example Queries:

  • “What are some good sensory activities for toddlers?”
  • “Can you give me information about the EYFS framework?”
  • “What are the best practices for managing staff-to-child ratios?”

Exporting Data

You can ask the assistant to compile and export data into a file for you.

Example Queries:

  • “Create a report of all children’s birthdays for this month and export it to a CSV file.”
  • “Export a list of all staff members and their email addresses.”

Help Mode

Switch to Help Mode when you need assistance with using the Pigeonhole software itself. The assistant will search our knowledge base to find the most relevant articles and guides to help you.

  • “Where can I find the occupancy planner?”

Providing Feedback

You can also use the assistant to provide feedback about the Pigeonhole system.

Example Queries:

  • “I have a suggestion for improving the daily diary feature.”
  • “I’m having an issue with the invoicing page.”

Privacy and Safety

Your privacy and the safety of the children’s data are our top priorities. The AI Assistant is designed with strict privacy and safety controls. It will only access data from your nursery’s Pigeonhole account when you ask it to and will not share this information, or store this data anywhere. For sensitive topics like child protection, the assistant will direct you to the appropriate authorities.
