Funding Form Renewal Settings

The renewal setting controls how far ahead parents can select funding terms when they complete a funding form. Set it to match when your setting renews funding forms — every academic year, or a full year at a time from a particular term.
Open in app: Settings → Funding.
Renewal settings are only available when your council is selected on the Site Profile settings page and your council supports funding forms in Pigeonhole.

Choosing a Renewal Option

  1. Go to Settings > Funding.
  2. In the Funding Form Renewal card, choose a Renewal option:
  1. Click Save.
As you change the option, the panel on the right shows exactly which terms a parent can select on a form, depending on which term the form is created in.

What Parents Can Select

The renewal option limits the term checkboxes available on new funding forms, so parents can only commit up to your next renewal point. For example, with Every autumn term selected:
  • A form created in the autumn term lets parents select the Spring and Summer terms — the form is due for renewal the following autumn.
  • A form created in the summer term lets parents select the Autumn, Spring and Summer terms of the next academic year.
With Current and next academic year, parents can select any upcoming term in the current and next academic year regardless of when the form is created.
Some councils limit how far ahead funding forms can commit. If your council has a limit, it is shown beneath the renewal option (for example, “Your council supports up to 3 terms ahead on funding forms”) and is applied on top of your renewal setting.

Changing Your Renewal Option

You can change the renewal option at any time. The change affects the terms available on funding forms from that point on — forms that parents have already completed are not altered.
When forms come up for renewal, use the Renew Funding Form action on the approved form — it creates a new form pre-filled with the previous data. See Approving & Managing.
