Attendance & Health

The Profile tab also contains attendance settings, health and welfare information, and any custom attributes defined for your nursery. These fields ensure staff have the information they need to care for each child properly.

Attendance

Configure the child’s attendance settings to control scheduling, invoicing, and staff assignments.
  • Term time only — Enable this if the child only attends during term dates. When enabled, the child will not be invoiced for school holidays. Leave disabled for all-year-round (stretched funding) children who attend throughout the year.
  • Start Date — An optional date indicating when the child starts at the nursery. This can be used for planning and reporting purposes.
  • Leaving Date — An optional date for when the child leaves your setting. After this date the child is excluded from billing, attendance, and occupancy calculations, and they are automatically moved to the archive the day after their leaving date. Leave this blank for children who are still attending.
  • Key Person — Assign a staff member as the child’s key person.
  • Collection Password — A password used for authorising pick-ups. This must be at least 4 characters long. Staff can verify this password when someone collects the child.
Setting a Leaving Date is the tidy way to off-board a child. On the day after the date, the child is archived automatically, so you do not need to remove them by hand. See Archiving & Restoring Children for how to view or restore archived children.
Term Time Only vs All Year Round: The Term Time Only setting is at the child level, while term dates are set at the system level. This allows you to have some children on term-time-only contracts and others on all-year-round contracts within the same nursery.

Health & Welfare

Record important health and welfare information so staff are aware of any special considerations for the child’s care.
  • EAL (English as an Additional Language) — Toggle to indicate whether the child has English as an additional language. When adding a new child, this is automatically set based on the child’s home languages, but can be overridden. When editing an existing child, changes to home languages do not affect this setting.
  • Pupil Premium — Toggle to indicate whether the child is eligible for pupil premium.
  • Free School Meals — Toggle to indicate whether the child is eligible for free school meals.
  • Funded Two — Toggle to indicate whether the child receives two-year-old funding.
  • Looked After — Toggle to indicate whether the child is a looked-after child.
  • Education, Health & Care Plan — Toggle to indicate whether the child has an Education, Health and Care Plan (EHCP) in place.
  • SEND — Toggle on to record that the child has Special Educational Needs and Disabilities, then choose one or more SEND categories from the list. See Personal Details & Demographics for the full list of categories.
  • Health Notes — Free text area for recording any health conditions, medical needs, or other welfare notes.
  • Allergies — Free text area for recording known allergies. This information is prominently available to staff.
  • Dietary — Free text area for recording dietary restrictions and requirements, such as vegetarian, halal, or specific food intolerances.
The Profile tab is a single form. The Funded Two, Looked After, Education, Health & Care Plan, and SEND fields sit in this Health & Welfare card even though they relate to funding and additional needs — you will also find them referenced on the Personal Details & Demographics page.
Always ensure allergy and dietary information is kept up to date. This information is visible to staff on the register to help keep children safe.

Custom Attributes

If your nursery has defined custom attributes for children (such as specific needs, preferences, or additional tracking fields), these appear as additional cards on the profile form. Complete any relevant fields to provide additional context for the child’s care. Custom attributes support three field types:
  • Text — Free text entry for notes or descriptions.
  • Dropdown — Select from a predefined list of values.
  • Toggle — A yes/no switch for boolean attributes.
Custom attributes are configured in Custom Attributes. Any attributes you create there will automatically appear on the child profile form.

After making changes, click Save to update the child’s profile.
